Privacy Policy

Last Updated: October 28, 2025

Look, we get it - privacy matters. We're not about hiding stuff in fine print. This policy breaks down exactly what info we collect when you train with us and how we handle it. No BS, just straight talk.

When you sign up at Grimward Continuum Fitness, we're gonna need some basics to keep things running smooth:

  • Personal Details: Name, email, phone number, date of birth - you know, the usual stuff so we can reach you about classes and keep track of memberships.
  • Physical Info: We might ask about fitness levels, health conditions, injuries, or limitations. This isn't us being nosy - it's about keeping you safe during combat conditioning and those brutal HIIT sessions.
  • Payment Data: Credit card info, billing address - whatever's needed to process your membership or personal training packages. We use encrypted payment processors, not storing full card details on our end.
  • Training Records: Progress notes, attendance logs, workout performance metrics. Your coaches track this stuff to make sure you're crushing goals and not plateauing.
  • Website Activity: IP addresses, browser types, pages you visit on our site. Standard web analytics to see what's working and what's not.

We're not selling your data to random companies or spamming you with junk. Here's what we actually do with it:

  • Running the Gym: Processing memberships, scheduling classes, managing bookings for personal training sessions.
  • Communication: Sending class reminders, schedule changes, special workshop announcements, or updates about your training programs.
  • Safety & Performance: Your health info helps trainers modify exercises when needed and push you appropriately during Warrior Endurance Circuits.
  • Payments: Charging membership fees, processing purchases for nutrition coaching add-ons, handling refunds if applicable.
  • Marketing: Occasionally we'll shoot you emails about new programs or promotions - but only if you've opted in. You can bail on these anytime.
  • Legal Stuff: Compliance with Canadian privacy laws, responding to legal requests if they come up.

Security's taken seriously around here - kinda like our combat training, we don't mess around:

  • Encryption: All sensitive data gets encrypted both in transit and at rest. Payment info goes through PCI-compliant processors.
  • Access Controls: Only staff who actually need your info can see it. Front desk doesn't need your medical history, trainers don't need your credit card.
  • Secure Systems: Our servers are protected with firewalls, regular security updates, and monitoring for suspicious activity.
  • Physical Security: Paper records (if any) are locked up. Computer screens at the desk timeout automatically.
  • Training: Staff gets trained on privacy practices - they know not to leave member info lying around or discuss it publicly.

That said, no system's 100% bulletproof. We do our best to keep your stuff secure, but can't guarantee absolute protection against every possible threat out there.

We're pretty tight-lipped about your personal info. We don't sell it, rent it, or trade it. But there are a few situations where we might share:

  • Service Providers: Payment processors, email platforms, scheduling software - the tools we use to run the business. They're bound by their own privacy agreements.
  • Legal Requirements: If we're legally obligated to disclose info (court orders, government requests, etc.), we've gotta comply.
  • Emergency Situations: If there's a medical emergency and paramedics need to know about a health condition you've disclosed to us.
  • Business Transfers: If Grimward Continuum gets sold or merged (not planning on it, but life's unpredictable), your info would transfer to the new owners.
  • With Your Consent: Sometimes we might want to feature member success stories or photos on social media - but we'll always ask first.

Our website uses cookies - not the chocolate chip kind, unfortunately. Here's the deal:

  • Essential Cookies: These keep the site functioning - remembering you're logged in, your language preferences, stuff like that.
  • Analytics: We use tools like Google Analytics to see how people use our site. Helps us figure out if our schedule page is confusing or if nobody's reading our blog posts.
  • Marketing Cookies: Sometimes we'll use cookies to show you relevant ads on other sites (retargeting). If you've checked out our training programs, you might see our ads later on Facebook or Instagram.

Most browsers let you control cookies through settings. You can block 'em if you want, though some site features might not work as smoothly.

Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal info:

  • Access: You can ask to see what personal data we've got on file about you. Just shoot us an email and we'll pull it together.
  • Correction: If something's wrong or outdated in your profile, let us know and we'll fix it.
  • Deletion: Want us to delete your info? We can do that in most cases, though we might need to keep some records for legal or accounting purposes.
  • Opt-Out: Don't wanna receive marketing emails? There's an unsubscribe link in every message, or just tell us directly.
  • Withdraw Consent: If you've agreed to something specific (like photo use), you can change your mind later.
  • Complain: If you think we've mishandled your info, you can file a complaint with the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, contact us at info@grimwardcontinuum.info or call (604) 287-4963.

We don't keep your data forever - that'd be weird and unnecessary. Here's our approach:

  • Active Members: While you're training with us, we keep your full records accessible for coaching and administrative purposes.
  • Former Members: After you leave, we'll typically keep basic records (name, contact info, membership history) for about 7 years for accounting and legal reasons.
  • Training Data: Performance logs and progress notes might be kept longer if they're useful for program development or if you come back later.
  • Marketing Lists: If you've unsubscribed, we'll keep your email on a suppression list (ironically) to make sure we don't accidentally re-add you.
  • Financial Records: Payment history and invoices get kept for 7 years per Canadian tax requirements.

Once retention periods expire, we securely delete or anonymize the data so it can't be traced back to you.

Our programs are pretty intense and geared toward adults. If you're under 19 in BC, we're gonna need parental consent before you sign up.

For minors who train with us:

  • We collect the same type of info but require a parent or guardian to provide consent
  • Parents can access, review, or request deletion of their kid's information anytime
  • We don't knowingly collect data from anyone under 13 without explicit parental permission
  • Health and safety info is especially important for younger members - we need to know about any conditions that could affect training

Privacy laws evolve, our business changes, technology advances - sometimes we'll need to update this policy to keep pace.

When we make changes:

  • We'll update the "Last Updated" date at the top of this page
  • For major changes that affect how we handle your data, we'll send an email notification to active members
  • The updated policy takes effect immediately upon posting, unless otherwise stated
  • Your continued use of our services after changes means you're cool with the updated terms

We recommend checking back here occasionally if you're curious about how we're handling things. Not exactly thrilling reading, but hey, knowledge is power.

Got questions about this privacy policy? Concerns about how we're handling your info? Wanna exercise your rights? We're here to help.

Bottom line: We respect your privacy as much as we respect the grind. Your data's safe with us, and we're transparent about how we use it. Now get back to training.
